Ukoo Love Foundation encourages reporting of concerns about misconduct, fraud, safeguarding failures, or breaches of policy without fear of retaliation. This Whistleblower Policy applies to staff, volunteers, partners, and members of the public.
1. What to report
- Fraud, theft, or misuse of organisational funds.
- Safeguarding concerns involving children or vulnerable adults.
- Harassment, discrimination, or abuse of power.
- Bribery, corruption, or conflicts of interest not disclosed.
- Serious breaches of donor trust or data protection.
- Suppression or falsification of programme or financial records.
2. How to report
Email (confidential): hello@ukoolove.org — use subject line Whistleblower or Safeguarding
Postal: Ukoo Love Foundation, Kampala, Uganda (mark envelope confidential: Whistleblower Officer)
Include what happened, when, where, and who was involved. Anonymous reports are accepted; however, anonymity may limit our ability to investigate fully.
3. Protection
We prohibit retaliation against anyone who reports in good faith. Retaliation is grounds for disciplinary action. Where legally required, we share information with regulators or police.
4. Process
- Acknowledgement within 5 business days (where contact details provided).
- Initial assessment and appointment of an investigator without conflict of interest.
- Proportionate investigation — findings to board audit or safeguarding committee.
- Corrective action and feedback to reporter where appropriate and lawful.
5. Malicious reports
Knowingly false accusations may result in removal from programmes or legal action. Good-faith errors are not penalised.
